Job Title: Administrative Assistant

Location:  St. Louis, Missouri or Franklin, Tennessee

Job Type: Full-Time

Compensation: $42,000 - $67,000, depending on experience, pace, and effectiveness

ADK Mission:  Helping affluent and wealthy advocates design and implement a custom plan focused on pursuing life dreams and financial goals. We will do this by providing customized advice, education, and service with a truly personal relationship.

Position Summary

This hybrid role is designed to provide direct executive-level support to our Co-Founder while also serving as an integral part of administration for the paraplanning team. The ideal candidate thrives on variety, anticipates needs, communicates clearly, and stays organized in a fast-moving environment. You’ll be juggling inboxes and itineraries one moment and working alongside paraplanners in our CRM the next.

Key Responsibilities and Outcomes

Executive Support

  • Manage and organize the Co-Founder’s calendar, meetings, and daily priorities
  • Monitor and manage email inbox, flagging urgent messages and drafting responses
  • Coordinate travel arrangements and accommodations
  • Communicate professionally with clients, vendors, and internal team members
  • Assist with event planning or coordinate logistics with external event planners
  • Support the involvement with non-profit partners as needed

Team Support (Paraplanners)

  • Work daily in  WealthBox (CRM) to support team workflow and client processes
  • Open and manage new client accounts, primarily via  eSignature
  • Troubleshoot and assist clients with  AccountView access (LPL's client portal)
  • Run and prepare  Morningstar reports and  portfolio appraisals  (PMs)
  • Track advisor  licenses and continuing education (CE)through state/federal systems
  • Interface with  ClientWorks to support interactions with LPL’s home office
  • Participate in firm-wide initiatives and special projects as needed
  • Provide occasional administrative support for the non-profits we serve (up to 3–5 hours per week)

  • Familiarity with Microsoft Word and Excel
  • Comfort working in CRMs (experience in WealthBox is a plus)
  • Discretion and professionalism when handling sensitive information

  • Ability to manage multiple priorities and pivot as needed
  • Previous experience in executive assistance or financial services is a plus

Compensation

  • Entry Level:  $42,000–$45,000
  • Mid-Level Experience:  $46,000–$55,000
  • Executive Assistant Level:  $57,000–$67,000
