Job Description

Enriching lives through investment and service is the mission at the core of everything we do at Holladay. The part-time Administrative Assistant supports this mission by providing administrative support to the Nashville office, ensuring efficient operations of the office.

Essential Duties and Responsibilities include but are not limited to the following:

  • Provide general office administrative support including, but not limited to:
  • Manage all incoming office mail including receive, date stamp and distribute to recipient.
  • Log all checks received according to established procedures.
  • Assemble FedEx packages for mailing for AP, AR, and as requested.
  • Serve as a notary as needed.
  • Manage sports tickets, including distribution and tracking.
  • Printing documents for meetings and other office related activities.
  • Obtain signatures on documents, both wet signature and DocuSign.
  • Order business cards for associates.
  • Supply Management:
  • Manage snack and kitchen supply ordering within a monthly budget.
  • Maintain inventory and order office supplies as needed.
  • Put up and organize supplies and common area spaces.
  • Manage Shred-it account to ensure bin is emptied as needed.
  • Plan office lunches, including ordering food and supplies.
  • Order flowers or food for associates with family loss or illness.
  • Assist with travel and hotel arrangements.
  • Other duties as requested.

Qualifications:

  • Prior administrative support experience needed
  • Prior experience, and proficiency with Microsoft Office software
  • Strong initiative
  • Ability to identify support needs and act as needed
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Ability to manage multiple tasks and prioritize effectively.
  • Attention to detail and problem-solving skills.

Compensation:

The Administrative Assistant compensation will be based on experience and qualifications. This range is subject to local, state and regional dynamics and may be adjusted up or down depending on market conditions.

Physical Demands:

  • Ability to unload office supplies, snacks, drinks, and other office materials

Supervisory Responsibility:

  • This position does not have any supervisory responsibility

Promotional Opportunity:

Associates with more than twelve (12) months of service may request consideration to transfer to other jobs as vacancies become available and will be considered along with other applicants. To be considered, Associates must have a satisfactory performance record and have no disciplinary actions during the last twelve (12) months. Management retains the discretion to make exceptions to the policy.
