Position Overview: We are seeking a detail-oriented and proactive Estimating Coordinator to support our preconstruction team in evaluating and analyzing project costs. The ideal candidate will be enthusiastic about developing their skills in estimating and construction management, and will thrive in a collaborative, fast-paced environment.
Key Responsibilities:
- Assist in preparing detailed cost estimates for construction projects, including labor, materials, and overhead.
- Analyze project plans, specifications, and blueprints to determine project scope and requirements.
- Gather and evaluate subcontractor and supplier quotes to ensure accuracy and competitiveness.
- Develop and maintain a comprehensive database of cost information, including historical data and market trends.
- Collaborate with project managers, architects, and engineers to clarify project details and resolve discrepancies.
- Assist in preparing bid proposals and presentations for potential clients.
- Participate in site visits and meetings as needed to gain a thorough understanding of project requirements.
- As a member of the Preconstruction team, you will participate in all assigned estimates and preconstruction efforts of the company. Work closely with, support and report to VP of Preconstruction Services.
- Participate in preconstruction team meetings, contributing to the company’s overall estimating and preconstruction efforts.
- Attend weekly all-staff BD, Preconstruction/Estimating, Operations meeting
- Order bid documents from the reprographer and maintain control of all physical and digital bid document sets, (ITBs, Plans, Specifications and Reports) including incorporating all addenda and revisions
- Thoroughly review bid documents including required bid forms, plans, specifications, third party reports (soils reports, surveys, inspection reports, etc.), owner contract requirements and general conditions.
- Set-up projects on company server and in Building Connected. Assist with selecting and soliciting sub-bidders and necessary vendors. Follow-up through telephone calls and emails to ensure adequate coverage of trade pricing.
- Attend pre-bid job walks and site investigations to assess existing conditions.
- Answer subcontractor questions or generate RFI’s as necessary to clarify scope(s) of work.
- Prepare quantity take-offs to establish accurate scopes of work and materials.
- Set up Bid Tabs to review subcontractor and vendor quotes. Fully analyze sub/vendor quotes for accuracy of scope of work.
- Improve and maintain subcontractor relationships with company to obtain preferential pricing on project estimates. Assist in developing and maintaining company subcontractor databases.
- Help to maintain historical company estimating information to improve accuracy of internal estimates.
- Join in follow up with all owners on estimates and efforts necessary to “Win the Work.”
- Participate in comprehensive estimate handoff meetings with operational staff prior to construction start.
- Assist operational teams, when required, on complex change order pricing.
- Assist Operations Team with buyout of select project items due to specific knowledge gained when conducting the preconstruction and bidding efforts.
- If necessary, be willing to support operations and project management efforts according to the operational needs of the organization.

Qualifications:
- Bachelor’s degree in Construction Management, Civil Engineering, or a related field, or equivalent work experience.
- Strong analytical and mathematical skills, with a keen attention to detail.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and estimating software (e.g., OST, Autodesk, Bluebeam) is a plus.
- Ability to read and interpret construction drawings and specifications.
- Excellent communication and interpersonal skills, with a collaborative approach to problem-solving.
- Eagerness to learn and adapt in a fast-paced work environment.
