Position Summary: The Executive Administrative Assistant (EA) is responsible for providing executive-level support to top executives at LocumTenens.com. This role requires a proactive, strategic partner to leadership, minimizing obstacles, maximizing executive time, and supporting strategic initiatives.

The position demands a highly organized individual with project management skills, technical expertise in Microsoft Office Suite (especially Excel and PowerPoint), and the ability to manage complex calendars, travel arrangements, expenses, event planning and reporting tasks. The EA will maintain strict confidentiality, handle sensitive information, and take initiative in resolving issues before they arise.

Key Responsibilities:

Executive Support & Calendar Management

  • Manage complex schedules for multiple executives across LocumTenens.com, considering individual and organizational priorities.
  • Anticipate and proactively resolve scheduling conflicts and logistics, ensuring executives’ time is optimized.
  • Plan and coordinate travel itineraries, including multi-leg domestic travel, ensuring seamless execution and adjustments as needed.
  • Facilitate communication across senior leadership teams, ensuring coordination for meetings, events, and strategic engagements.
  • Maintain a high degree of confidentiality in handling executive communications, both internal and external.

Strategic Project Management & Initiative Support

  • Support senior leadership in executing strategic initiatives and projects, managing timelines, tracking deliverables, and ensuring cross-company collaboration.
  • Act as a liaison between various departments at LocumTenens.com to streamline operational processes and integrate key business functions (HR, Talent Acquisition, Marketing, Accounting, etc.).
  • Assist in the development and maintenance of strategic scorecards, business plans, and presentations for executive review.
  • Proactively identify and implement process improvements to enhance collaboration and communication between departments at LocumTenens.com.

3. Reporting & Data Analysis

  • Prepare and analyze reports and presentations, including financial and statistical data, for leadership and meetings as needed.
  • Conduct research and gather information as needed to support executive decision-making processes.
  • Assist with the preparation of executive presentations and ensure data is accurate, relevant, and presented in a professional manner.

Additional Responsibilities:

  • Maintain relationships with key stakeholders across multiple departments, building strategic partnerships and fostering effective communication at all levels.
  • Handle a wide range of administrative tasks independently, initiating processes to manage projects, information, and team interactions with minimal supervision.

Qualifications:

  • Education: Bachelor’s degree preferred, but not required.
  • Experience: 2-4+ years of executive administrative support experience, preferably supporting V-suite or senior-level executives.
  • Technical Skills: Advanced Microsoft Office skills, particularly in Excel, PowerPoint, and Teams, with a high level of comfort using calendar management and travel coordination tools.
  • Confidentiality & Discretion: Demonstrated ability to handle sensitive information with the highest level of integrity and professionalism.
  • Communication Skills: Exceptional written and verbal communication skills, with the ability to interact confidently with senior leaders and stakeholders.
