Facility Administrator

• Provide administrative support to a team of facility and project managers, assisting with a range of tasks related to building maintenance and project coordination. This role includes managing schedules, organizing documentation, developing, and streamlining processes, and ensuring overall administrative efficiency. Responsibilities also include maintaining compliance with company policies and procedures.

Key Responsibilities:

• Clerical and Organizational Tasks: This includes tasks like filing, data entry, typing, copying, and scanning documents.

• Provide support to Facility and Project Managers: Assisting other Team Members with various administrative needs and preparing requests for quotes.

• Project Coordination: Tracking deadlines, facilitating communication, and assisting with project related tasks. Submit reports and prepare presentations as needed.

• Develop Process to Maintain Records: Create and update databases and records for facility and project management, and other data.

• Scheduling and Coordination: Managing calendars, scheduling appointments, and coordinating meetings.

• Communication: Answering phones periodically, if needed, responding to emails, and preparing correspondence.

Required Skills:

• Organizational Skills: Maintain records, manage schedules, and keep administrative needs, maintenance records and logs organized.

• Communication Skills: Effectively communicates with team members, vendors, and other stakeholders. Excellent written and verbal communication.

• Time Management: Prioritize tasks and meeting deadlines.

• Computer Proficiency: High level competency with Microsoft Office and other relevant programs. Demonstrated solid proficiency in Microsoft Excel, including building and maintaining workbooks, developing spreadsheets and creating custom formulas.

• Critical Thinking Skills: Identifies and resolves issues efficiently.

• Adaptability: Able to manage a variety of tasks and situations. Change agility to learn new software programs to place purchase orders and navigate billing. Must be comfortable in a fast paced environment.

• People Skills: Build rapport with Team Members, vendors and other stakeholders.

• Detail Orientation: Ensuring accuracy and thoroughness in all tasks.

Work Schedule: Full-time, Monday through Friday

Physical Requirements

The role may require the ability to walk distances within the various campus buildings or between departments without physical limitations, as the Facility Administrator may need to deliver documents, attend meetings, or access equipment.

Must be able to lift and carry items weighing up to 20 pounds, such as office supplies, files, or packages, as part of regular job duties.
