Position Overview
The Fleet Manager is responsible for overseeing the acquisition, maintenance, utilization, and
performance of the company’s vehicle fleet. This strategic role ensures the fleet operates efficiently,
safely, and in compliance with all regulatory and company standards. The ideal candidate is both a
hands-on problem solver and a data-driven leader who can drive improvements in fleet operations,
cost management, and service reliability.
In addition, this role requires demonstrated experience in managing third-party fleet vendors and
service partners—including evaluation, contract negotiation, and performance oversight—to ensure
cost-effective, high-quality service delivery.
Key Responsibilities
Fleet Operations & Maintenance
• Oversee day-to-day fleet operations, including vendor management, vehicle assignment,
maintenance scheduling, accident management and overall fleet performance.
• Develop and manage preventive maintenance programs to ensure
vehicle reliability and minimize downtime.
• Ensure compliance with DOT, OSHA, and other regulatory bodies for
safety and operational standards.
• Monitor and analyze fleet performance metrics (e.g., fuel efficiency,
maintenance costs, asset utilization).
Third-Party Vendor & Partner Management
• Lead the evaluation, selection, and ongoing management of third-party fleet service providers
(e.g., leasing partners, maintenance vendors, fuel card programs, telematics providers).
• Establish service-level expectations and performance metrics to ensure vendors meet safety,
reliability, and efficiency standards.
• Serve as the primary point of contact for outsourced fleet operations and ensure seamless
integration with internal processes.
• Conduct regular reviews and audits of vendor performance, invoicing accuracy, and
compliance with contractual obligations.
• Identify cost savings opportunities through vendor negotiations, contract optimizations, and
consolidation of services.
• Collaborate with Procurement and Legal to manage contracts, renewals, and RFP processes for
f
leet-related services.
Procurement & Asset Management
• Manage vehicle procurement, leasing, and lifecycle planning to align with budget and
operational needs.
• Maintain accurate records of vehicle inventory, registration, inspections, insurance, and
warranties.
• Negotiate with vendors for fleet services, fuel contracts, leasing agreements, and vehicle
repairs.
Cost Control & Budgeting
• Create and manage the annual fleet budget, including capital expenditures and operating
expenses.
• Analyze total cost of ownership for each asset class and identify opportunities to improve cost
efficiency.
• Track and report on fuel usage, maintenance expenses, and vendor spend to drive operational
savings.
Leadership & Collaboration
• Work cross-functionally with the Commercial, Service, Operations, Safety, HR, and Finance
teams to align fleet strategy with business goals.
• Promote a culture of safety, accountability, and continuous improvement within the fleet
function.
Qualifications:
Required:
• 5+ years of experience in fleet management, transportation, or logistics.
• Strong knowledge of vehicle maintenance practices, DOT regulations,
and fleet tracking systems.
• Proven ability to manage budgets, vendors, and teams effectively.
• Strong track record with fleet operations expertise.
• Excellent analytical, organizational, and communication skills.
• Proficiency with Microsoft Office Suite NetSuite.
Preferred:
• Experience with fleet management software (e.g., Samsara, Verizon Connect, Teletrac Navman
TN360).
• Certifications such as CAFM (Certified Automotive Fleet Manager) or equivalent.
• Familiarity with sustainable fleet practices (e.g., fuel efficiency strategies).
• Experience in industrial equipment, waste/recycling services, or manufacturing preferred but
not required.
