Job Description

We are seeking a detail-oriented and organized Office Administrator to join our dynamic team. The ideal candidate will be responsible for managing daily office operations in our public accounting firm, providing exceptional customer service, and ensuring efficient administrative support. This role requires strong computer skills, proficiency in Microsoft Office and Outlook, and the ability to handle multiple tasks effectively in a fast-paced environment.

Duties

  • Manage front desk operations, including greeting visitors and handling inquiries
  • Operate multi-line phone systems to manage incoming calls and provide excellent phone etiquette
  • Perform data entry, filing, and clerical tasks to maintain organized office records
  • Assist with calendar management and scheduling appointments for staff
  • Provide customer support by addressing client needs and resolving issues promptly
  • Proofread documents for accuracy and clarity before distribution
  • Maintain office supplies inventory and place orders as needed
  • Collaborate with team members to ensure smooth office operations
  • Support administrative and operational functions as required

Qualifications

  • Proven experience in an office management or administrative role
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Excellent typing skills with attention to detail for data entry tasks
  • Bilingual abilities are a plus for effective communication with diverse clients
  • Familiarity with QuickBooks would be a plus
  • Strong customer service skills with a focus on client satisfaction
  • Ability to work independently as well as part of a team in a collaborative environment
  • Time management skills to handle multiple responsibilities efficiently
