Job Description

This position requires knowledge of medical office administrative duties and handling customers effectively and efficiently in a fast-paced environment.

The Medical Records Coordinator has a great deal of interaction with prospective students and staff and should have the ability to multi-task, prioritize duties, and exhibit excellent communication skills both written and verbal.

This position provides ongoing support to the Admissions department including management. Daily report audits, reconciliations, updating, and tracking of required documentation are also critical functions for the Medical Records Coordinator.

This position reports to the Director of Admissions.

DUTIES AND RESPONSIBILITIES:
The Medical Records Coordinator will also be responsible, but not limited to, the duties and tasks listed below:

  • Collecting and maintain student medical and HIPAA files for all cohort.
  • The ability to multi-task and meet deadlines in a fast-paced environment.
  • Compile and maintain the demographic data sheets for all cohorts.
  • Maintains confidentiality of student records.
  • Completes daily report audit to ensure data is entered correctly in Campus Nexus by staff.
  • Completes all National and DHSS background checks.
  • Provide daily re-cap report of all activities to department management.
  • Assists in overseeing the tracking of all new students during first five days of class. Tracks and assists with collection of all remaining admissions and/or financial paperwork required for student file.
  • Audits, routes and monitors enrollment files- focused on complete files by official start period. Tracks all file audits.
  • Assist with college transcript requests as necessary.
  • Update and manage Lock-In Reports.
  • Commits to achieving team start goals by actively supporting the team towards success.
  • Complete daily reconciliations and reports.
  • Track individual performance metrics for all relevant admissions staff.
  • Manage lead flow parameters at the direction of the Supervisor.
  • Provides ongoing communication and support to Supervisor.
  • Other duties as assigned by Supervisor.

JOB QUALIFICATIONS AND SKILLS:

  • Two (2) years of experience working in a medical office preferred or combined. work experience in business, customer service or education.
  • Strong organizational and detail-oriented skills.
  • Must be able to type a minimum of 50 words per minute.
  • Must be able to prioritize, multi-task and manage projects.
  • Demonstrate excellent communication skills both written and verbal.
  • Proficient computer skills in Word, Excel, database software and use of Internet.
  • Punctual, responsible, ethical and a team player.
  • Strong commitment to serving students’ needs required.
  • Ability to work in a fast-paced environment.
  • Varied shifts.

COMPENSATION:

  • Non-Exempt - hourly position.
  • Wage Range $17.00 - $19.60.
  • Compensation dependent on experience, knowledge and education level.

Schedule:

  • 8-hour shift

  • Expected hours: 40 per week
