Job Description

Logistics and Export Compliance Coordinator

Location: On-Site: Richmond, CA 94804

Position Summary: Working independently and exercising good judgment and discretion, this position is responsible for the coordination of bookings and transportation between the Defense Logistics Agency, shipping lines, carriers, vendors/packers, warehouses, and our customers. Ensuring compliance with USDA, FDA, and International trade regulations. This candidate communicates highly and effectively with Account Management, Procurement, Inventory Control, and warehouse to ensure orders are shipped in full and in a timely manner.

Job Responsibilities:

  1. Booking Requests: Completes and submits booking requests to DLA based on Load Plans submitted by Customer Service.
  2. Freight Bookings: Arranges transportation for all customer orders and supply chain moves.
  3. Negotiation: Responsible for obtaining a minimum of 3 quotes on all freight moves and negotiating the best rate for the Company.
  4. Follow-up: Daily follow-up to maintain real-time booking information for clear visibility and communication interdepartmentally. Provides timely shipping updates to 3PL Warehouses.
  5. Documentation: Generates shipping paperwork and sends it to packers and warehouses. After container loading, processes, and ships in Container Management to generate final shipping documents.
  6. Accuracy: Responsible for 99% accuracy on all container documentation. Provide completed shipping docs to Accounting, DLA, and Ocean Carrier.
  7. USDA/USDC Export Requirements: Reviews the Food Safety and Inspection Service (FSIS) website daily to ensure all export country requirements are met.
  8. Export Requirements: Keeps all parties concerned informed regarding changes to export requirements.
  9. Export Requirements: Verifies & confirms export requirements for products affected by product restrictions.
  10. Export Applications: Verifies and addresses any discrepancies with the Production Team on export health certificate applications.
  11. USDA/USDC Export Certificates: Creates USDA and USDC Export Certificates for all export loads and maintains 100% accuracy.
  12. EU Documentation: Creates and/or double checks EU Documentation for outside warehouse facilities.
  13. Provide UGR-A Slaughter Letters: Provides UGR-A Slaughter Letters per customer request.
  14. USDA Veterinarian: Acts as the liaison between Richmond Wholesale and the USDA Vet; builds and maintains business relationships.
  15. PHIS (Public Health Information System): As administrator of the PHIS Site, trains and assists other users in processing Export Health Certificates in the PHIS Online System.
  16. Vet Runs: Takes USDA Certificates to Vet offices for signatures.
  17. USDC Lot Certificates: Processes all Lot Certificates based upon score sheets from USDC inspections.
  18. Compliance: Strictly adheres to Richmond Wholesale’s employment policies, departmental operating policies, and all federal and state regulatory and compliance laws pertaining to our business and industry.
  19. Collaboration: Actively maintains a collaborative spirit/dialogue with all departments.

Qualifications:

  • Strong background in logistics, including handling air and ocean export shipments, booking, tracking, and documentation.
  • Proficient in utilizing systems such as Cargowise One for issuing shipping documents and filing AES to customs.
  • Excellent collaboration skills and ability to manage major global accounts.
  • Experience with USDA, FDA, and International trade regulations.
  • Strong customs documentation skills.
  • Ability to negotiate carrier rates and manage relationships with carriers and brokers.
