Job Description

Garage Composites is seeking an experienced and highly organized Meeting Planner to oversee and administer all company events, including 20 Club meetings, Manager Training Academies, Owner’s Meetings, Financial Bootcamps, and special regional meetings as requested. This role is crucial to ensuring seamless execution of all meeting logistics, from initial planning to post-meeting follow up and billing.

The ideal candidate will be detail-oriented, skilled in negotiation and site selection, and able to work within specific timelines while handling multiple projects simultaneously. The role requires expertise in sourcing hotels, negotiating contracts, coordinating event logistics, and ensuring smooth execution of all event-related on site tasks.

Key Responsibilities:

  • Meeting Planning & Execution: Organize and manage all Garage Composites meetings, ensuring a seamless registration and final experience for attendees.
  • Venue Sourcing & Negotiation: Research, source, and negotiate hotel contracts, ensuring venues meet company requirements.
  • Meeting Coordination: Manage meeting details such as room setups, audio visual needs, transportation, meals, and accommodations.
  • Contract & Budget Management: Read, negotiate, and sign agreements, ensuring cost-effective meeting planning.
  • Attendee Coordination: Manage event invitations, registration, attendance tracking, and communications.
  • Communication & Reporting: Provide updates on meeting status, finalize banquet event orders (BEOs), and ensure accuracy in final hotel receipts.

Requirements:

  • Proven experience in event planning, logistics, or hospitality management.
  • Strong organizational and project management skills.
  • Ability to multitask and meet strict deadlines.
  • Proficiency in Project Management software, Google Docs and Google Calendars.
  • Experience in negotiating contracts and working with vendors.
  • Excellent communication and problem-solving skills.
  • Ability to handle stressful situations while maintaining professionalism.
  • Ability to work independently and adhere to deadlines.

Compensation & Benefits:

Base Salary Range: $35,000 - $40,000 per year, based on experience.
