Personal Assistant

Division: Private Family Office

Location: Chelsea, NY 10011

Salary: $100,000 - $140,000

Schedule:

Monday – Friday

Hours: 9am – 6pm

Position Overview

An established, private couple in New York City is seeking a highly professional, poised, and detail-oriented Personal Assistant to provide seamless day-to-day support. This role requires exceptional organizational skills, discretion, and adaptability in managing a range of personal and household tasks. The ideal candidate will be proactive, resourceful, and committed to ensuring smooth daily operations, handling responsibilities with precision and complete confidentiality.

Responsibilities

  • Oversee the daily operations of a private residence
  • Coordinate with household staff, vendors, and service providers to ensure efficient workflows
  • Manage household and office inventories; handle procurement and supply needs
  • Maintain and coordinate an ever-changing personal and professional calendar
  • Arrange complex domestic and international travel (flights, accommodations, ground transportation, and detailed itineraries)
  • Prepare travel documentation including passports, visas, and logistics
  • Plan and execute private events, dinners, and special occasions
  • Coordinate with chefs, florists, caterers, and other vendors for event execution
  • Handle personalized gifting and manage high-end procurement

Qualifications & Requirements

  • 5 - 7 years of experience as a personal assistant
  • Bachelor’s degree
  • Exceptional organizational, multitasking, and problem-solving skills
  • Strong written and verbal communication abilities
  • Proficiency in Microsoft Office Suite and project management tools
  • Highly professional appearance and demeanor
  • Absolute discretion and ability to handle sensitive information with confidentiality
  • Ability to work independently and anticipate needs
  • Strong attention to detail and ability to perform under pressure
  • Valid U.S. work authorization required
