We are seeking a detail-oriented and proactive Project Manager to join a private Family Office based in Miami, FL. This role will focus on high-level project oversight, administrative execution, and travel-based coordination for philanthropic, household, and business initiatives. The Project Manager will collaborate closely with a second assistant to ensure seamless operations across multiple priorities, including charity-related efforts, purchasing, and vendor coordination.

Requirements:

  • 5–10 years of experience in a similar role within a family office, private household, or project management capacity
  • Proven ability to manage multiple projects simultaneously with discretion and precision
  • Excellent organizational, administrative, and communication skills
  • Experience with international purchasing and managing invoices
  • Strong understanding of logistics, vendor communication, and timeline management
  • Tech-savvy with the ability to track inventory, budgets, and procurement systems
  • Professional demeanor and ability to travel with the principals as needed

Responsibilities:

  • Manage and oversee special projects including philanthropic initiatives, household projects, and events
  • Collaborate with the internal team and principals to ensure timelines, tasks, and deliverables are met
  • Handle inventory, purchasing, and procurement—including international sourcing and invoice tracking
  • Support the execution of large-scale projects such as charity coordination and vendor logistics
  • Coordinate with vendors, maintain project documentation, and manage administrative follow-ups
  • Accompany principals on travel as needed for hands-on support and onsite execution
  • Maintain a high level of discretion and confidentiality at all times

Schedule:

Monday–Friday, 8:30 AM to 6:00 PM

Flexibility required depending on project or travel needs

Compensation:

$90,000–$120,000 annually
