Job Description

Are you an experienced Administrative Assistant with a desire to excel? If so, then Talent Software Services may have the job for you! Our client is seeking an experienced Administrative Assistant to work at their company in Redmond, WA.

Position Summary: Support leaders in the public sector with administrative tasks, travel coordination, expense management, and meeting/event logistics for customer-facing engagements.

Primary Responsibilities/Accountabilities:

  • Coordinating meetings and small-scale customer events, primarily 20-person meetings, and occasionally global virtual roundtables.
  • Managing travel and expense processes for two leaders.
  • Supporting logistics for internal and external meetings across the organization.
  • Event Coordination: Scheduling, catering, room booking, and virtual logistics.
  • Administrative Support: Expense reports, travel arrangements.
  • Collaboration: Liaising with other EAs for guidance; responding to ad-hoc requests from approximately 114 public sector team members.
  • Work Schedule: Approximately 25 hours per week, ideally set days (e.g., Mon/Wed/Fri), but flexible if pre-discussed.
  • Review upcoming customer meetings for the entire public sector organization. Work across the organization to ensure support is provided by arranging catering, booking rooms across different office locations, and following up with speakers on content.
  • Review and process expenses, and manage any travel arrangements necessary for two leadership team members.
  • On-Campus Meeting Coordination: Work with the host to determine a workback plan, book meeting spaces, arrange catering, speaker times/agenda timing, accommodation logistics, transportation requirements, and tour orchestration.

Qualifications:

  • Years of Experience Required: 2–4 years (aligned with Administrative Assistant Level 2 expectations).
  • Degrees or Certifications Required: None required; PMP certification is a nice-to-have for project coordination skills.
  • Best: Strong organizational skills, proactive communicator, experience with global logistics, and familiarity with expense/travel systems.
  • Average: Handles basic admin tasks but struggles with complex event coordination.
  • Event planning (small or large scale) - 2 years
