Summary of Role:
- Provide comprehensive support to the Domestic Distribution team through accurate order entry, administrative assistance and prompt resolution of inquiries including research, resolution and coordinating support across various internal teams.
Essential Responsibilities:
Data Entry:
- Accurately input and maintain data related to orders, inventory, and returns in the company's ERP.
- Ensure data integrity and perform regular audits to identify and correct discrepancies.
- Maintenance and updating the Ecommerce Platform: Etail
Order Processing and Verification:
- Process and verify orders for both warehouse and e-commerce operations.
- Coordinate with relevant departments to ensure timely and accurate order fulfillment.
- Monitor order status and provide updates to customers and internal stakeholders.
Inventory Management:
- Conduct regular inventory blasts to update stock levels and identify discrepancies.
- Serve as the primary point of contact for inventory updates and inquiries.
- Assist in inventory reconciliation and reporting.
Returns Management:
- Act as the first point of contact for customer returns, ensuring a smooth and efficient process.
- Verify return eligibility and process returns in accordance with company policies.
- Coordinate with the warehouse team to manage returned goods and update inventory records.
Receiving:
- Oversee the receiving process for incoming shipments, ensuring accuracy and completeness.
- Coordinate with suppliers and internal teams to resolve any issues related to received shipments.
Administrative Support:
- Provide general administrative support to the distribution operations team.
- Assist with scheduling, documentation, and communication tasks as needed.
- Maintain organized records and files related to distribution activities.
Customer Service:
- Respond to customer inquiries and provide information regarding order status, returns, and inventory.
- Resolve customer issues and complaints in a professional and timely manner.
- Collaborate with the customer service team to ensure a high level of customer satisfaction.
Logistics Coordination:
- Coordinate with logistics providers to ensure timely transportation of goods.
- Track shipments and provide updates to internal teams and customers.
- Assist in resolving any logistical issues that may arise during the transportation process.
Reporting and Analysis:
- Generate and analyze reports related to order processing, inventory levels, and returns.
- Assist in the preparation of performance metrics and key performance indicators (KPIs).
Qualifications:
- Bachelor's Degree (BA) or three to five years related experience and/or training, or equivalent combination of education and experience.
- Computer skills required: Microsoft Office 365 including Excel (v-lookups), ERP system
