Job Description

Roles and Responsibilities:

We are seeking a detail-oriented and dependable Administrative Support Specialist to provide essential administrative and clerical assistance to our team. This role involves data entry, document coordination, payment processing, and general office support under moderate supervision. The ideal candidate is a team player who is proactive, organized, and willing to ask questions to ensure accuracy and efficiency in daily tasks.

Key Responsibilities:

  • Provide administrative support by conducting research, preparing reports, and addressing routine inquiries.
  • Gather, compile, verify, and accurately enter data into reports, spreadsheets, and databases.
  • Assist with data collection, report generation, and general departmental support.
  • Handle incoming calls, route inquiries, and provide information to internal and external stakeholders.
  • Process payments, issue purchase orders, and manage billing documentation.
  • Maintain organized filing systems for paperwork and digital records.
  • Assist with scheduling meetings, arranging conference calls, and preparing correspondence.
  • Support accounts payable by preparing documentation for vendor payments and responding to inquiries.
  • Document and maintain departmental policies and procedures.
  • Participate in business improvement assignments and projects as needed.
  • Perform other routine administrative tasks in line with organizational policies.

Required Skills and Qualifications:

  • Strong attention to detail and accuracy in data entry and document processing.

  • Basic knowledge of financial processes, including payments, purchase orders, and billing (preferred).
  • Effective communication skills, both verbal and written.
