Office Coordinator – Shape the Foundations of a New Global Network

Location: Dallas, TX (100% On-Site)

About the Role

We are seeking a highly organized, energetic and personable Office Coordinator to serve as the face of our office and a key support resource for our team. This individual will play a crucial role in maintaining a smooth, efficient, and friendly office environment. A background in hospitality is strongly preferred, as this role is people-facing and service-oriented. The ideal candidate will be reliable, proactive, and eager to take on new challenges as our company grows.

Key Responsibilities

Front Desk & Guest Experience:

  • Greet and sign in all guests, ensuring a warm, professional, and secure welcome.
  • Manage front desk operations including phone handling, receiving deliveries, and responding to inquiries.
  • Keep the reception and communal areas clean, organized, and welcoming.

Office Supply & Grocery Management:

  • Monitor and maintain inventory of office supplies, kitchen snacks, and beverages.
  • Order and restock groceries and supplies to ensure team needs are consistently met.
  • Oversee the tidiness and function of shared spaces such as kitchens and conference rooms.

Vendor Management & Facilities Coordination:

  • Serve as the main liaison for vendors including janitorial, snack delivery, maintenance, and equipment services.
  • Coordinate logistics for installations, repairs, and ongoing service needs.
  • Track vendor contracts, schedule services, and ensure issue resolution and quality assurance.

Administrative & Operational Support:

  • Perform light data entry, document management, and maintain office-related records.
  • Assist with basic administrative tasks including printing, scanning, and supporting internal team logistics.
  • Provide ad hoc support to the Operations and Executive teams as needed.

Qualifications

  • 3+ years of experience in administrative, hospitality, or customer-facing roles.
  • Proven ability to multitask, prioritize responsibilities, and maintain attention to detail.
  • Highly reliable, punctual, and consistent in execution of responsibilities.
  • Growth mindset with enthusiasm for learning and taking on new challenges.
  • Strong interpersonal and communication skills; able to interact professionally with guests, vendors, and colleagues.
  • Proficiency in Microsoft Office (Word, Excel, Outlook), Slack, and productivity tools such as Notion.
