Job Description

The Operations Manager plays a pivotal role in ensuring the seamless, high-quality delivery of services by our Direct Support Professionals (DSPs) . This position is responsible for overseeing daily operations, optimizing workflows, and maintaining compliance with healthcare regulations and service authorizations.

As a key leader, the Operations Manager assures cross-functional collaboration between families, clients, BCBAs, and executive management, ensuring that all services meet the highest standards of care and efficiency.

Key Responsibilities:

  • Lead and manage direct staff performance and professional development ensuring optimal customer service delivery and team performance.
  • Oversee daily operations (direct service, task assignments team meetings) , utilizing established processes for maximum efficiency and effectiveness.
  • Ensure compliance with service authorizations, regulatory standards, and healthcare guidelines.
  • Oversee policies and procedures , ensuring adherence to established policies and maintaining standards of performance with service delivery.
  • Manage Operations Budget and staffing-related expenses, collaborate with finance to ensure staffing aligns with budget constraints and identify areas for cost-saving or reallocating resources.
  • Collaborate with cross-functional teams , including BCBAs, clinicians, and executive leadership, to improve service coordination and clear communications.
  • Report to the Executive team monthly on status of Client Services, Staffing, Objectives, and Budget.

Human Resources

  • Responsible for managing the recruitment procedures for all new staff.
  • Recruit and hire sub-contractors as needed, manage contracts, and verify 1099 documents.
  • Collaborate with Executive Staff to finalize employee offers, starting salaries, and hours.
  • Support staff as needed in HR tasks and issues.
  • Promote professional growth and career advancement.
  • Address underperformance and implement improvement plans when needed.
  • Support work-life balance initiatives.
  • Monitor turnover, employee satisfaction, plan recognition events or appreciation activities.
  • Manage, review, and update Employee Handbook with Executive approval.

Staff Files & Record keeping

  • Maintain employee files in compliance with CA Employment Development Department.
  • Manage monthly staff schedules, scheduling changes, and coverage changes.
  • Manage QB Time and EVV applications and employee time sheets.
  • Track and manage employee annual performance reviews.
  • Monitor and oversee staff credentials and renewals.
  • Act as Custodian of Records for DOJ and DMV Pull Notices.

Client Files & Record Keeping

  • Maintain tracking of clients’ individual Service Agreements and Contracts.
  • Maintain tracking of clients’ assessment and progress reports.
  • Maintain all records and documents per published guidelines.
  • Maintain official attendance records.
  • Oversee Client Billing and Client accounts receivable.

Operations

  • Manage, review, and update Operations Policies.
  • Oversee Client Service Operations (direct services, meetings, and task assignments).
  • Manage Operations budget.
